Terms and Conditions for all experience days & courses sold by Fens Falconry (the company).
Attendance - When signing into the visitors diary you are confirming your understanding and acceptance of these terms and conditions and agree to your details to be held in accordance with our privacy policy. A maximum of two spectators are allowed to accompany your group. Those attending on open days will be required to pay and admission fee on the door or, present a valid ticket upon arrival. Tickets cannot be transferred once validated and have no monetary value. Tickets cannot be refunded once purchased. Visitors will be requested to leave the site if the company or its employees or volunteers believe that their actions will put the birds, themselves or other visitors in danger or if a negative environment or experience is being had because of actions or inactions.
Health & Safety - Please note that participants will be interacting with animals/birds of prey and even though they are in a captive environment they can be unpredictable and will behave the same as their wild counterparts. Due to this please ensure that you follow any instructions given to you by our staff members or volunteers. We cannot be held responsible for any injuries sustained as a result of failure to comply with theses instructions. Should you hear shouts of ‘fire’ whilst outside in the centre please gather at the assembly point. Should any member of public or participant show aggressive or dangerous behaviour and/or not adhere to instructions given by falconry staff or volunteers that could endanger the birds, staff or other members of the public, the company will ask the individual(s) involved to leave the premises and/or the police may be called if necessary.
Cost & Payment - Payments made by credit or debit card are processed by Sumup and are subject to their terms and conditions. Payments through the website are processed by WIX and are subject to their terms and conditions. Payments can also be made by cash or direct bank transfer. Payment must be made in full before dates of experience days will be confirmed. The company will not refund any differences in price if the retail price of experience days changes.
Refunds - Any refunds will be returned to the paying debit or credit card, back to the issuing bank account or to the customer if paid in cash and will not go through any third parties, booking agencies/companies or other party of any kind. Once purchased there will be a 14 day period where you can have the cost refunded. After this time and/or once a date is booked we will not provide refunds. Refunds are not provided if bookings are cancelled by the company or the attendee due to inclement weather. Refunds are not given if visitors are asked to leave the site.
Discounts - Local business owners who’s premises are located within 20 miles of us (to be verified by checking website) can obtain a 15% discount on all experience day places for participants only. All military and emergency service personnel can receive a 15% discount on all experience day places for participants only, an institutional email address will be used to confirm. The provision of a discount is at the desecration of the member of staff taking the booking and discounts will not be added after a payment has been take. Anyone who has received a discount and should not have been entitled to it will be required to pay the remaining cost to the price advertised in order to attend the date booked.
Carers - Any visitors with needs that require carer support will be entitled to one half price spectator place.
Validity - Vouchers are useable by the person(s) named during booking and as such are not transferable without prior agreement from the company. Your experience day must be conducted before the expiry of your invite.
Cancellation - As the participants, you may reschedule the date of your experience day once so long as you provide 7 days or more notice. The date rebooked must still be within the validity period of your invite as stated above. Cancellation with less than 7 days notice will require 25% of the total booking cost to be made in order to rebook which must also be within the validity period as stated above. The company may need to cancel a booking and should this occur, you will be rebooked on a date of mutual convenience regardless of the validity period under reasonable circumstances. Should this occur, the invites expiry date will be termed as the last day of the month in which it was rebooked. The same cancellation details occur as above.
Bookings made directly through the website without an invite will have a validity period of 6 months for bird of prey experience, 1 year for private day or private photography day and 2 years for owl evenings. The start date for this validity period will be the date the booking was made.
Infectious Diseases - Dependant on the time of year and recent disease outbreaks you may be required to dip your feet upon arrival and before leaving the centre to protect against transmittable diseases such as avian influenza. Please do not attend the centre if you have been in contact with any known or suspected cases of avian diseases (list available upon request). You will be held liable for company losses if you knowingly or recklessly put our birds at risk.
Age - Children under 5 years old are unable to attend the centre as they are uninsured to interact with our birds. Children under the age of 14 must be accompanied by a participating adult or guardian. All children must be supervised at all times and it is the parent or guardians responsibility to ensure they follow the company or staff instructions. Under 5’s are admitted free of charge on open days but are unable to interact with the birds in any way.
Facilities - We have no disabled access or toilet facilities and nowhere for baby changing. Upon arrival tea, coffee, hot chocolate & squash is provided on all experience days but we do not have alternatives to caffeinated, cows milk products or sugar so please provide your own if you have any specific requirements. Further drinks may be purchased during or after the day at an additional cost.
Animals - You must not bring any animals with you on your experience day. Dogs (for example) left in cars will not be tolerated and guests may be asked to leave for the welfare of the animals and no refunds or rebooking opportunities given. Guide dogs are permitted but you must inform us prior to arrival otherwise you will be turned away with no refunds or rebooking opportunities given. Due to their nature we cannot guarantee the availability or performance of any bird(s) and will not provide refunds or rebooking if we are unable to use the birds for any reason that may be of detriment to their freedoms as laid out in the Animal Welfare Act. We will endeavour to rearrange should inclement weather be forecast but we would also not undermine the birds welfare by exercising them when the weather has unpredictably become dangerous for them. We would not refund or rebook in that instance.
Food - Food provided onsite is prepared by Loafers Sandwich Bar, Wisbech not the company. Any dietary requirements are passed onto them when placing an order so please ensure we are aware in good time. Sweets are also provided with funds going to charity. The company cannot be held liable to illnesses or allergies that occur from the ingestion of these foods although we would investigate this on your behalf.
Photography - Photography is permitted but must be for personal use only unless expressly agreed in writing from the company. Should any images be used commercially or for any financial gain then those earning from the images agree to pay the company 50% of all earnings from direct outcome of their use such as advertising for an event, entry into competitions etc. Photographs may be taken by the company, employees or volunteers throughout your attendance at Fens Falconry and we may use them for marketing purposes. By attending your experience day or booking you agree to your image being used. If you do not want your images to be used please inform us upon your arrival. This also applies to adults attending with children.
Website, newsletter & visitor privacy policy

We receive, collect and store any information you enter on our website or provide us in any other way. We collect personally identifiable information. This is limited to name & email address when subscribed to our newsletter and names, email address, address, telephone number and dietary requirements when provided during experience day bookings. Additionally, payment details (including credit card information) will only be kept until payments have been successfully processed and then they are securely destroyed. Any email correspondence may be kept on our servers and will include any information disclosed within. In addition, we collect the Internet protocol (IP) address used to connect your computer to the Internet. We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page. You will be asked to sign in upon your arrival at the centre. This sheet will be kept as a record of attendance. Communication Data that includes any communication that you send to us whether that be through the contact form on our website, through email, text, social media messaging, social media posting or any other communication that you send us. We process this data for the purposes of communicating with you, for record keeping and for the establishment, pursuance or defence of legal claims. Our lawful ground for this processing is our legitimate interests which in this case are to reply to communications sent to us, to keep records and to establish, pursue or defend legal claims. Technical Data that includes data about your use of our website and online services such as your IP address, your login data, details about your browser, length of visit to pages on our website, page views and navigation paths, details about the number of times you use our website, time zone settings and other technology on the devices you use to access our website. The source of this data is from our analytics tracking system. We process this data to analyse your use of our website and other online services, to administer and protect our business and website, to deliver relevant website content and advertisements to you and to understand the effectiveness of our advertising. Our lawful ground for this processing is our legitimate interests which in this case are to enable us to properly administer our website and our business and to grow our business and to decide our marketing strategy. We may use Customer Data, User Data, Technical Data and Marketing Data to deliver relevant website content and advertisements to you (including Facebook adverts or other display advertisements) and to measure or understand the effectiveness of the advertising we serve you. Our lawful ground for this processing is legitimate interests which is to grow our business. We may also use such data to send other marketing communications to you. Our lawful ground for this processing is either consent or legitimate interests (namely to grow our business). We do not collect any Sensitive Data about you. Sensitive data refers to data that includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data. We do not collect any information about criminal convictions and offences.
> How do we collect information?
When you submit newsletter subscription on our website, we collect personal information you give us (name & email address). In this circumstance, your personal information will only be used to send out newsletters and new event information. This information is held by our website hosting service wix.com. Our company is hosted on the Wix.com platform. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall. Information provided by email, over the telephone or in person will be documented on a booking form which will be located in our offices. This information (except payment information) will be kept until your attendance at the selected experience day or until your invites is 6 months past its expiry date. Then they are securely destroyed. We will only use your information to contact you about the selected experience day you have booked on. Your attendance will be recorded on our booking in / T&C form. Your name, telephone number and dietary requirements will be kept in our annual diary.

Only to inform you of either; updates to services, changes to the experience day, new newsletters or information about the business. We keep attendance records to ensure that we have a record of your arrival at the centre. This is to be able to prove that participants have arrived & when they came. Diary information is kept to enable quick contact with you regarding the experience day booked.
> How do we communicate with you?
We will generally email you to discuss details about experience days.
We may post our experience day invites but only if specifically requested by yourself.
We will only email you about newsletters and new events/services.
We may telephone you close to the date of your event or experience if the circumstances or details change.
